Privacy Policy

Last Updated: 5/18/2026

1. Introduction

Welcome to OnTime. Your privacy is critically important to us. This Privacy Policy outlines how we collect, use, and safeguard your personal information, particularly regarding the use of our mobile and web applications (collectively, the "App").

2. Information We Collect

A. Personal Information

When you register or use the App, we may collect personal details such as your name, email address, employee ID, role, and department.

B. Location Data (Foreground and Background)

The OnTime app collects and processes your location data, including background location, to enable geofencing features and accurately track when you enter or leave designated work areas. Location data is strictly used to verify your presence at authorized worksites during clock-in and clock-out events. This data may be collected even when the app is running in the background or closed, provided you have granted the necessary permissions.

C. Device Information

We collect device-specific information such as your operating system, device hardware type, and unique device identifiers to ensure compatibility and secure access to our system.

3. How We Use Your Information

  • Time Tracking & Geofencing: To record accurate clock-in and clock-out events. Location data is matched against employer-defined geofences to ensure compliance with attendance policies.
  • Authentication & Security: To identify authorized employees and protect against unauthorized access.
  • App Improvement: To analyze usage patterns, troubleshoot issues, and enhance the overall user experience.

4. Sharing Your Information

We do not sell, rent, or trade your personal or location data to third parties. Information is only shared with:

  • Your Employer/Administrator: Your clock events, location at the time of the event, and basic profile info are visible to your company's administrators for payroll and compliance purposes.
  • Service Providers: We may share data with trusted third-party cloud hosting and database providers who assist us in operating our platform, strictly under confidentiality agreements.
  • Legal Requirements: We may disclose information if required by law, subpoena, or to protect our legal rights.

5. Data Retention & Security

We implement industry-standard security measures, including encryption and secure server hosting, to protect your data. Your location history and clock event data are retained for as long as required by your employer for auditing and payroll purposes, after which they are securely deleted or anonymized according to the employer's retention policies.

6. Your Rights & Choices

You can manage or revoke location permissions at any time through your device's operating system settings. However, please note that denying location permissions will prevent you from using the remote clock-in/out features of the App. You may also contact your employer's administrator to request access, correction, or deletion of your data.

7. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last Updated" date. We encourage you to review this Policy periodically.

8. Contact Us

If you have any questions or concerns about this Privacy Policy or our data practices, please contact your system administrator or reach out to our support team.
